Ghant charts 

The Ghantt Chart is a scheduling device. It facilitates in the planning of projects and provides management with a pictorial representation of the audit project.

The Ghantt chart enables the user to:

Allocate resources

Divide a project into subprojects. (An audit Ghantt chart this may reflect the following as subprojects.)

Preparation - Preliminary surveys

Development - Audit programs

Field Work - testing and gathering of information

Audit findings - identifying and documenting control deficiencies

Report -  drafting of a minimum of two reports.

Sub Projects are objects that encapsulate a complex set of events that may result in the completion of a section of the project. This is not necessary for relatively simple projects. However, it could be invaluable on project where multiple teams are working on different sections of the project. Each team can maintain their subproject Ghantt Chart without interfering with other sub-projects. The Project manager can view all the sub projects holistically to establish the progress that is being made and to adjust resources where necessary.

Each project or sub project is then divided up into activities. These are the basic unit of the Ghantt Chart. An activity is a discrete identifiable block of work that can be performed. Each activity is allocated a period of time in which it should be completed. Activities are  indicated with a horizontal bar.

From the completion of one activity to the commencement of another. This shows that these activities run sequentially as the one activity is dependent or the prior activity.
From the start of one activity to the start of another. This indicates that these activities can run in parallel as there are no dependencies between them.
From the end of one activity to the end of another. This indicates that the first activity must be completed prior to the second activity being completed despite the activities running in parallel.

Finally if the project has external dependencies there may be a certain amount of lag time in a project. This is time in which no progress is made due to  the differential between the external parties completion date of their work and projects requirement of that work being earlier. In a case like this resources should be reallocated to other functions during this lag time.

Having inserted all the various variables from above into the Ghantt chart and interconnected the activities, the Ghantt chart is able to indicate the period required from the start of the project to the completion.

The Ghantt chart is not only a planning/scheduling tool but is also a tracking tool as the work progress is logged against each event. Thus the project manager can see immediately there is slippage against an event.

Ghantt Charts can also be used to perform short term planning for the audit department. Here Management can establish the number of man days there are in a year for the department, the audits to be completed in the year, the percentage of each man day that is available for auditing and how many  widgets a man day  encompasses. 

The widget unit if measure should be established from two sources:

 audits (and slippage or savings) from prior years; and 

the number of hours in an auditors working day.

(Consider that an auditors working day is not a 8 hour day but includes:

  • Opening and answering of e-mail
  • Audit Department Meetings;
  • technical reading
  • Travel etc

Then an auditors working day is cut from the normal 8 hours to a 5 hour day.

Then one must take into account leave. Sisck leave should be catered for as most people have and average of 5 to 6 days sick in one year. The number of widgets that are available are sustanstially reduced.

This means that anastual planner needs to be aware of this and plan their year accordingly taking u any slack with special/ small audits.
